Start with your installed system
A brand name is the starting point. Confirm the lock model, credential configuration and encoder with your property team, then test a sample in the installed system.
For tap-to-open guest access. Start with your installed lock and encoder setup: a lock brand or the appearance of a card alone does not establish which credential your property needs.
For hotels using swipe or insert readers. Match the magnetic stripe and encoding requirements to your existing system, then specify your printed design and order quantity.
Planning an order for a property with both RFID and magnetic stripe readers? Ask whether one card can accommodate the two requirements, or whether separate card stocks are more practical.
Send your logo or existing artwork and describe the finish you want. The quote should identify the agreed printing method, color reference, card material and proofing requirements.

Start with your quantity, destination and lock system. The final card specification determines the minimum order, price and schedule.
Before a production order
Agree both the technical test and the sample costs first. An unprinted test card checks the credential; a printed proof checks the artwork and finish.
Confirm the proposed credential, card body and encoder requirements. Ask for sample quantity, sample charges, courier cost and dispatch timing before arranging shipment.
Have your authorized property team enroll and encode the sample in your current system. A successful reader scan or matching UID format does not prove that a guest credential will work.
Test the intended room locks and any configured elevator or shared-area readers. Include check-in, expiry and reissue in the test, and record the software, encoder and lock versions used.
Record the accepted credential and artwork reference, material, size and finish. Reconfirm these details if your system or card specification changes before a reorder.
For the initial review, share the lock model, encoder/software details and a non-sensitive card reference. Keep guest data, live access credentials and system security keys with your authorized team.
Request test cardsProcurement evidence
Ask which documents are available for your proposed card and review their scope before approval. A lock manufacturer's specification does not certify a third-party card.
Manufacturer and part number, credential preparation requirements, card dimensions and tolerances, material, print finish and the approved artwork revision.
The sample reference, encoding setup, doors and readers tested, results and approval date. A factory read check and a property compatibility test answer different questions.
Ask which reports apply to the proposed material and finished card. Check the issuer, date, tested item and scope; request sourcing documentation if certified material is part of your specification.
Quantity by design, agreed inspection criteria, production schedule, packing, shipping terms and the process for reporting and resolving a manufacturing defect.

Include the information you have and mark the rest as unknown. Photos of the lock or encoder label, the card packaging or an existing supplier specification can help narrow the requirements. Your installer can confirm the system configuration; a physical sample test is still needed before accepting a substitute.
Tell us the total quantity and the quantity for each artwork version. The minimum order and available price breaks depend on the selected card and printing requirements, so they need to be confirmed in your quote.
Use your current card specification, packaging label or an agreed sample as the starting point. A proposed replacement needs its chip or stripe, construction and printing requirements confirmed, followed by a test on your own encoder and doors. Guest access permissions remain part of your authorized hotel access system.
