Define the specification, test proposed samples and check the evidence for the exact construction. Use this guide to record what your team has approved.

The printable checklist is a tool for your team to complete, not a certificate or a completed test report.

Four steps to a recorded approval

Agree the review scope, sample quantity, charges and timing before arranging samples.

  1. Write down the proposed specification

    Record the chip manufacturer and exact part, required credential preparation, card dimensions and thickness, material layers, finish and artwork revision. Include the quantity for each design.

    Keep on record: Keep a dated specification and the reference for the sample you will approve.

  2. Agree separate sample checks

    Use a printed sample to review artwork, finish and handling. Have your authorized property team issue the proposed credential in the installed system and test the intended doors and shared-area readers.

    Keep on record: Record the sample ID, encoder/software and lock versions, checks performed, results and approval date.

  3. Match the evidence to the card

    For each requested material, sourcing or performance claim, identify the report or document that would support it. Check the tested item, complete construction, material or batch reference, issuer, date, method and conditions.

    Keep on record: Note any gap between the tested sample and the proposed order before relying on the claim.

  4. Agree inspection and issue handling

    Put the inspection method, sampling coverage and acceptance criteria in writing. Define how to report a problem, what records to retain and how an agreed remedy will be decided.

    Keep on record: Confirm these terms with the quotation; do not assume a replacement, credit or inspection level.

Evidence review

Ask what applies to your proposed card

Document availability and applicability must be confirmed. This page does not publish product certificates or completed laboratory reports.

Specification and artwork

The exact card and chip description, dimensions and tolerances, material construction, print or engraving requirements and approved file revision.

Sample acceptance record

Which physical samples were reviewed, what the property tested, the installed configuration and who approved the result. Include issuing, expiry and reissue in the agreed test plan.

Material or sourcing documents

The actual report, declaration or sourcing record for the proposed item. Check its scope and whether it covers a component, the finished card or a specific batch.

Written quality terms

The agreed visual and functional criteria, inspection coverage, production reference, packing requirements and process for investigating a reported defect.

For environmental claims, review the full construction, test conditions and intended disposal route. A material name or a test-method number alone is not evidence that a finished card will be recycled, composted or biodegrade in your local conditions.

Does this page certify a Cardotel product?

No. This is a procurement review guide. No completed product test reports or certificates are published on this page. Request the evidence relevant to your proposed specification and confirm its availability and scope before approval.

Does a successful reader scan prove the card will work in our hotel?

No. A basic reader check and a property compatibility test answer different questions. Your authorized team should issue the proposed sample and test it in the installed lock, encoder and software configuration, including the intended access and reissue workflow.

How should we agree print and durability acceptance?

Use the proposed construction and an approved physical reference. Agree the colour comparison method, viewing conditions, surface and edge criteria, handling tests and acceptable results. A screen proof alone does not approve the physical finish or service life.

What should we do if a sample or delivered card fails?

Record the card or batch reference, the affected quantity, the observed failure and the test setup. Follow the written reporting and investigation process agreed for the order. Replacement, credit and other remedies must be confirmed in those terms.
