Why Hotels Use Key Cards Instead of Metal Keys
Metal keys cost hotels more every time one goes missing. See why key cards win on security, branding, cost control, and everyday guest convenience.
A guest key card that won't open the door is one of the most common calls a front desk fields — and most of the time, the fix takes under a minute once you know which of a handful of causes is behind it.
Some causes are about the card itself, some are about the door lock, and a couple are just how the system is designed to work. Here are the seven most common reasons a hotel key card stops working, and what actually fixes each one.

A dropped card can crack invisibly. Crumbs, sand, scratches, and folds all interfere with a magstripe read, and enough grime can eventually confuse an RFID chip's contacts too. Once a card looks or feels compromised, reissue it rather than trying to coax more life out of it.
Most systems program a guest card to expire automatically at the property's standard checkout hour on the departure date. If a stay gets extended, or two reservations run back-to-back without the front desk linking them, the original card can stop working right on schedule — because it's doing exactly what it was told to do. Always re-key extended stays before the original checkout cutoff.
Any sufficiently strong magnet near a magstripe can scramble it — a handbag clasp, a speaker magnet, and occasionally a cell phone. RFID cards don't have this vulnerability at all, which is one reason high-turnover properties increasingly prefer them.
If the front desk enters the wrong number of nights, the card will stop working the moment its (incorrect) programmed window ends — not when the guest actually planned to leave. The fix is simple: re-encode the card with the correct remaining nights, or hand over a supplemental card covering the gap.
Sometimes the card is perfectly fine and the lock's reader is the problem — a loose connection, a worn contact, or a firmware quirk. If a freshly encoded card still won't open the door, that's the signal to call maintenance rather than reissue again.
LoCo magnetic stripes are inexpensive and common in hotels, but they're built for shorter-term use and wear out faster than HiCo stock. If a property is reissuing an unusual number of cards, it's worth checking whether the stripe grade in use is simply not built for that volume of swipes.
The encoding machine at the front desk collects dust and grime over time, and the write head eventually wears down after enough cards pass through it. A poorly maintained encoder can write a garbled code onto a perfectly good blank card — which then fails on the very first swipe.
Before escalating to maintenance, try a second, freshly encoded card in the door. If the new card works, the problem was almost certainly the original card or how it was encoded. If the new card also fails, the reader itself needs attention.
The most common reason is a checkout-time expiration that didn't get updated when a stay was extended. Ask the front desk to re-encode your card for the correct departure date.
It's possible, though less common than it once was, and it only affects magnetic stripe cards — RFID cards aren't vulnerable to this at all. Keeping a magstripe card away from strong magnets is still a reasonable precaution.
If reissue volume is high and consistently traced to demagnetization or stripe wear, RFID is worth evaluating — it removes that entire failure category. It's a lock-hardware decision, though, not just a card order.
A protective sleeve helps considerably for cards handled daily, and requesting an overlay laminate over the printed face adds scratch resistance. Neither eliminates damage entirely, but both meaningfully extend a card's useful life.
